Role Summary The Lease Administration Specialist will be responsible for a broad range of activities that support the integrity, accuracy, and compliance of the company’s sublease portfolio. This role ensures that landlord and subtenant changes are processed correctly, legal documentation is maintained, and all compliance-related communications are addressed in a timely manner.
The position requires a detail-oriented professional who excels at documentation management, communication, and cross-functional coordination. This role supports real estate operations, accounting, legal, tax, and risk management teams, contributing directly to the organization’s accuracy, compliance, and financial integrity. Key Responsibilities
Review and process all prime landlord and subtenant change requests by validating deeds, lease assignments, address updates, and all supporting documentation while maintaining an accurate ownership title chain
Process changes promptly through supplier maintenance to ensure notice details and remittance information remain accurate
Create and maintain the CoStar Table of Contents for the full sublease portfolio
Distribute public hearing notices and violation notifications to the appropriate internal or external parties and track all activity in Deal Path through completion
Circulate Right of First Refusal notices to internal stakeholders, track decisions ahead of deadlines, and notify all required parties once a final decision is made
Maintain positive and professional relationships with landlords, lenders, subtenants, and internal teams including Real Estate, Legal, Accounting, Tax, Risk, and Accounts Receivable
Coordinate subtenant insurance certificate updates with brokers and follow up on non-compliant certificates to ensure compliance
Collect, sort, and distribute mail and EFax correspondence related to the sublease portfolio
Support internal projects and special initiatives under the direction of departmental leadership
Identify and recommend improvements to sublease administration processes and procedures
Key Requirements
Three or more years of experience in lease administration, real estate operations, or property management
Strong understanding of lease documentation, assignments, ownership changes, and administrative workflows
Experience using real estate systems such as CoStar or similar tools
Proficiency with Microsoft Office and strong organizational abilities for managing documentation
Excellent verbal and written communication skills with the ability to interact with internal and external stakeholders
Detail-oriented mindset with strong accuracy, follow-through, and multitasking capabilities
Ability to work collaboratively within a fast-paced, deadline-driven environment
Preferred Skills
Experience with Deal Path or other tracking systems
Familiarity with insurance certificate workflows and compliance
Background in corporate real estate or multi-location support environments
Process-improvement mindset with the ability to recommend workflow enhancements
